Terms & Conditions
1) RESERVATIONS AND PAYMENTS
To make a reservation, please contact Ronda Carman at Calling the Shot (CTS). Confirmations for retreats will only be made once a 50% advance payment is received. This advance payment must be made within five (5) days of the reservation.
There will be no binding contract until CTS has received the advance payment. If you fail to make your advance payment on time, any confirmed reservation will automatically change to a provisional status, which may result in the inability to reinstate your reservation. Once CTS receives your advance payment, a booking reference number will be assigned and noted on your original invoice. This number serves as confirmation and acceptance of your booking.
2) CANCELLATION POLICY
Booking Cancellation:
Cancellation requests must be submitted in writing via email and acknowledged by CALLING THE SHOT (CTS). Verbal cancellations are not accepted.
All cancellations require approval, and the refund amount depends on the timing of the cancellation.
Cancellation Time Frame:
- Cancellations made 120 days or more before the travel date: 90% refund.
- Cancellations made 119 to 60 days before the travel date: 50% refund or 75% can be applied to a future trip.
- Cancellations made less than 59-31 days before the travel date: 25% credit will be applied toward a future trip.
- Cancellations 30 days or fewer before the travel date: no credit or refund will be issued.
- If CTS needs to cancel a retreat due to unforeseen circumstances, we will issue a full credit toward another trip.
Refunds will not be issued under the following circumstances:
- Lost travel time or changes to events.
- Itinerary changes made after departure.
- Situations beyond the control of CTS that require alternative arrangements to ensure your safety, participation, or enjoyment of the retreat.
- If you fail to attend any activity or trip without notifying CTS.
- If you leave the retreat after it has started or miss any scheduled activities, meals, or accommodations.
Force Majeure:
We will not cancel a retreat unless due to a force majeure or circumstances beyond our control. A force majeure event includes (but is not limited to) any act, event or cause including earthquakes, cyclones, floods, fires, lightening, storms or other acts of God, strikes or industrial disputes, riots, terrorist acts, civil disturbances, breakages of machinery, or industrial conditions, or arising out of any other unexpected and exceptional cause, delays in transportation and dispositions or orders of governmental authority (including, without limitation, as a result of novel coronavirus (whether new or existing), which prevents a trip to commence, continue or be completed.
CTS is not responsible for any direct, incidental, or consequential damages, expenses, or losses that a client may incur as a result of a cancelled booking. This includes, but is not limited to, non-refundable flights or rail tickets, non-refundable car parking fees, loss of earnings, or diminished enjoyment and opportunities. For this reason, we strongly recommend purchasing travel insurance.
3) RISKS
CTS emphasizes the inherent risks of a clay shooting retreat. We are committed to providing a safe environment and prioritize safety above all else. We teach and strictly enforce gun safety guidelines to foster a culture of safety for all involved.
Additionally, we reserve the right to ask any guest to leave for any reason, including acts of violence, inappropriate behavior, disruptive conduct, or unsafe actions, without justification or explanation. In the rare event that you are asked to leave, no refund or credit will be issued.
You must sign a release acknowledging this warning and agree to hold CTS harmless from any potential damages that may arise. Your understanding and compliance are compulsory.
4) TERMS AND CONDITIONS
These terms and conditions govern the relationship between CTS and you, completely excluding any other terms and conditions. No changes to these terms and conditions may be made by any unauthorized representatives or agents of CTS unless documented in writing by an authorized representative of CTS.
All decisions and matters subject to the discretion of CTS will be made by an authorized officer or representative of CTS.
5) AGE REQUIREMENT
Participants must be at least 21 years of age due to liability considerations and the provision of alcoholic beverages at events during our retreats.
6) SPECIAL REQUESTS
Please inform us in advance of any dietary restrictions you may have. While we strive to provide vegetarian options at most meals, we may be unable to accommodate highly specific or severely restricted diets without prior notification.
7) PHOTOGRAPHY
CTS hires a professional photographer to photograph our retreats. CTS reserves the right to use any photography or film taken during a retreat for general purposes without payment or permission, without further notice.
8) DISPUTES
Should you have any concerns during the retreat, please promptly bring them to the attention of the CTS representative. They will make every effort to address and resolve the issue.
9) CONSENT
The payment of an advance or any partial payment for a retreat signifies your acceptance of all stipulations outlined in the terms and conditions, as well as the general information. Modifications to these terms shall not be permitted unless they are documented in writing and signed by an authorized officer or employee of CTS.
NOTE: When you book a retreat with CTS, you unequivocally enter into a binding agreement. It is crucial to fully understand and accept all terms and conditions outlined in this document.
